HortiOwl (“we”, “us”, “our”) is committed to protecting your personal data and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We are the data controller for personal data collected through this website.

What this policy covers

This policy covers this website (hortiowl.co.uk) and the enquiries and demo requests you send us. If your business becomes a HortiOwl customer, the data you and your customers store in the platform is processed under a separate data processing agreement (DPA) provided as part of your customer agreement — available on request from privacy@hortiowl.co.uk.

What data we collect

This website has no login, no forms, and no tracking. We collect only the information you voluntarily provide when you email us — typically your name, email address, business name, and whatever details you choose to include about your operation when requesting a demo or asking a question.

We do not use tracking cookies, advertising pixels, or third-party analytics on this website.

How we use your data

Information you send us is used to respond to your enquiry, arrange and prepare a demo you have requested, and follow up on that conversation. Our legal basis is our legitimate interest in responding to enquiries about our product, or your consent where you have asked us to keep in touch. We will not use your details for unsolicited marketing, sell them, or share them with third parties for their own purposes.

Who we share it with

Your enquiry data is seen only by the HortiOwl team and the service providers who run our email and hosting infrastructure (including Amazon Web Services), acting under contract on our instructions. We do not share personal data with any other third party unless required to by law.

Where your data is stored

Our systems, and the business data held in the HortiOwl platform, are hosted in the United Kingdom (AWS London region). Limited operational data — such as security and infrastructure logs — may be processed by our hosting provider in other regions as part of running the service securely, and email naturally transits our email providers’ infrastructure. Where any transfer outside the UK occurs, it is protected by appropriate safeguards such as the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

We keep enquiry correspondence for as long as your enquiry is active and for a reasonable period afterwards — normally no more than two years after our last contact — after which it is deleted. You can ask us to delete it sooner at any time.

Your rights

Under UK GDPR you have the right to access, correct, or request deletion of personal data we hold about you, to restrict or object to our processing of it, and to data portability. To exercise any of these rights, contact privacy@hortiowl.co.uk — we respond to all requests within one month. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk) if you are unhappy with how we have handled your data.

Changes to this policy

We may update this policy from time to time — for example when the platform gains new capabilities or providers change. The “Last updated” date at the top of this page shows when it last changed.
